Alex Gifts Operations: The Shop Floor and the Website on One System
Once the Alex Gifts website was selling, the business hit the problem every growing shop hits: the website said one stock number, the shop floor said another, and the stockroom said a third. We built the retail operations system directly into the same platform, on the same domain. Staff reach it from a Control Panel link in the site's own navigation — no second login, no separate product list. The counter, the stockrooms and the website now draw down the same stock, so the shop cannot sell something the site already sold. It covers till sales, stock across branches, transfers, stock counts, returns, pickups, deposits, barcode labels, receipt printing and reporting, in Arabic and English.
Selling at the counter
- A till that is quick to use: Staff ring up a sale, apply a discount and print a receipt without leaving one screen.
- Who sold what: Every sale is recorded against the cashier who made it.
- Walk-in or named customers: A sale can be anonymous or attached to a customer record, whichever the situation calls for.
- Sizes and colours handled properly: Each variant is sold and counted separately, so the numbers stay honest.
- Returns, pickups and deposits: Each has its own workflow instead of being improvised at the counter.
Stock across branches
- Every location counted separately: Shop floor, stockroom and warehouse each hold their own stock, switched from one selector at the top of every screen.
- Transfers as a document: Moving goods between locations creates a tracked record rather than an untraceable manual edit.
- Stock counts: Physical counting sessions reconcile what is on the shelf against what the system says.
- A full movement history: Every in, out, transfer and adjustment is logged, with the last movement date shown on each product.
- Approval before it counts: Pending lines are held out of confirmed stock until a supervisor signs them off.
Knowing what you are holding
- Live figures per branch: Units in stock, how many product lines carry stock, and the total value of what is sitting on the shelves.
- Stock valued at cost: A real figure for money tied up in inventory, per location.
- Find anything instantly: Search by product name or code, with filters and a bulk action for setting up a new branch quickly.
- Fix a line where you see it: Adjustments are made straight from the stock table without opening another page.
Receipts and labels
- Receipts designed to fit your printer: 58 mm, 80 mm or any custom width, with margins, line spacing and text size adjusted to fit the paper the shop actually uses.
- See it before you print: A true-to-width preview shows the receipt as settings change — order number, time, cashier, items, discount and total.
- Your logo on the receipt: A dedicated receipt logo can be uploaded and switched on or off.
- A code on every item: Each product and variant carries its own code, used across stock, till and reports.
- Labels printed on demand: Print a label straight from a product row, or generate a batch for shelf labelling.
Reports the owner can act on
- Built on what actually happened: Sales and stock reports draw on the same movements the shop floor generates, not on a separate set of numbers typed in later.
- What the shelves are worth: Inventory valued per branch, so the owner knows where the money is sitting.
- Discrepancies can be traced: Counts, transfers and movements can be looked up after the fact and traced to a document and a date.
One system with the online shop
- One platform, one address: The system runs inside the existing Alex Gifts site rather than as a separate application to log into.
- One product list: Products, variants and prices are the same records the website sells from — no importing, no syncing, no drifting apart.
- One sign-in: Staff sign in once, and the Control Panel appears in the site's navigation only for authorised accounts.
- The shop cannot oversell: Online orders and counter sales draw from the same stock, so what the site sold is already gone from the shelf count.
- Arabic and English throughout: The whole system works in both languages, matching the storefront.
